Operation Camouflage 2026

Operation Camouflage is a four-week holiday programme packed with fun and engaging activities for young people aged 8–16. Running Tuesday to Thursday from 21 July to 13 August, 10am–3:15pm at Sutton Heath near Woodbridge, each day offers a mix of sports, arts, crafts, and adventurous experiences. Participants will try at least two different activities per session, with options such as paddleboarding, kayaking, street dance, and creative workshops. A healthy breakfast, snacks, and buffet lunch are provided. Sessions cost £27.50, with reduced rates of £10 for eligible military families and £15 for young people that attend Just42 and free places available for children receiving free school meals in East Suffolk. Delivered in partnership by East Suffolk Council, the Army Welfare Service, and Just 42, the programme is supported by funding to ensure it is accessible to as many young people as possible.

Only book activities that you know the participant would like to take part in, we are unable to offer an alternative activity. Activities may change due to provider illness, we will try to keep the same theme (sporty/arty).

1 Activity Booking Requirements 1.1When booking sessions for Operation Camouflage, parents/carers must ensure that activities selected are suitable for the young person attending. 1.2 Bookings should only be made for activities that the young person wishes to participate in. 1.3 Cycling activities must only be booked if the participant is confident and able to ride a bicycle independently. 1.4 Water-based activities (including paddleboarding, kayaking, raft-based sessions, etc.) must only be booked if the participant is able to swim competently. 1.5 Activities can be busy, energetic, and loud, which may not be suitable for all participants. To ensure participant safety and wellbeing: 1.6 Parents/carers must provide accurate and complete information regarding any Medical conditions, Allergies, Dietary requirements, Additional needs and/or SEND and any behaviour concerns. 1.7 This information must be provided at the time of booking and updated where necessary. Please note: Operation Camouflage cannot provide 1:1 support unless agreed in advance. 1.8 It is the responsibility of parents/carers to ensure that all bookings are appropriate to the participant’s abilities. Failure to do so may result in the participant being unable to take part in certain activities for safety reasons. Parents / carers may be asked to collect their child from the session due to supervision ratios. 2 Clothing and Equipment 2.1 Participants must arrive prepared for a full day of activity. 2.2 Suitable weather-appropriate clothing must be worn (including waterproofs where necessary). 2.3 Participants should bring: o Appropriate footwear such as trainers (no open toed shoes, crocs, uggs o Sun cream o Any additional items advised in advance 2.4 Safety equipment (e.g. helmets for cycling or life jackets for water-based activities) will be provided and must be worn where provided and instructed. 2.5 Participants may be unable to take part if dressed inappropriately for safety reasons. 3 Age and Supervision 3.1 Operation Camouflage is designed for young people within the advertised age range (typically 8–16 years). 3.2 Participants must meet the minimum age requirement to attend. 3.3 For staff supervision ratios to be maintained; we are unable to offer 1:1 support. If this is something that the young person requires, please speak with the organisers before booking to see what can be done to accommodate. 4 Safeguarding East Suffolk Council and the Army Welfare Service take safeguarding responsibilities extremely seriously. 4.1 All staff are trained, vetted, and operate within safeguarding procedures. 4.2 Activities are delivered in a safe and supervised environment. 4.3 All concerns are handled in line with safeguarding policies. 4.4 Parents/carers must ensure that the programme and chosen activities are appropriate for their child’s individual needs. 4.5 Participants are encouraged to speak to staff if they feel unsafe, uncomfortable, or worried at any time. 5 Behaviour Expectations Operation Camouflage is committed to providing a safe, inclusive, and enjoyable environment. 5.1 Participants must behave respectfully towards others at all times. 5.2 Bullying, aggression, discrimination, or disruptive behaviour will not be tolerated. 5.3 Participants must follow staff instructions, particularly regarding safety. 5.4 Participants are expected to join in with the activities,. Due to staff supervision ratios we cannot supervise young people who refuse to participate in the planned session. Parents / carers may be contacted and asked to collect their child from the session. 5.5We operate a zero-tolerance approach to serious misconduct: 5.5.1 Parents/carers may be contacted regarding behaviour concerns. 5.5.2 If behaviour compromises safety, staff ratios, or the experience of others, the participant may be removed from the session or programme and parents/carers will be asked to collect their child from the session. 5.5.3 In such cases, no refund will be provided. 6 Mobile Phones, Smart Watches & Photography Policy 6.1 Mobile phones, smart watches and other devices that can operate as a camera and have the ability to instantly share images via messaging services, email, and online platforms. 6.2 While we recognise that parents/carers may wish their child to bring such devices, there are risks associated with their use, including: - Bullying or harassment • Photographs or videos being taken without consent • Loss or damage to personal items 6.3 For these reasons, participants are strongly discouraged from bringing mobile phones or smart watches to the programme. 6.4 If they are brought it is under the following conditions of Use • Devices must be on silent and kept in bags throughout the day. • Devices must not be used during activities. • If used, participants will be asked to return the device to their bag. 7 Photography and Filming 7.1 Photography and filming by participants is strictly prohibited. 7.2 Any participant found taking photos or video footage will be required to delete the content immediately under staff supervision. 8 Liability 8.1 No responsibility is accepted for loss, theft, or damage to personal devices. 9 Cancellations and Refunds 9.1 If you need to cancel a booked session, please provide as much notice as possible. 9.2 Where possible, cancellations should be made 3 -4 days in advance. 9.3 A minimum of 48 hours’ notice is required to avoid charges. 9.4 Cancellations made with less than 48 hours’ notice may be charged at the full session price. 9.5 Short-notice cancellations may only be considered for a refund or credit in exceptional circumstances, such as illness. 9.6 For any HAF young person, two non attendances with no valid reason will result in all future bookings being cancelled.
